Member Relations Coordinator | Position Summary
The Western Chester County Chamber of Commerce Member Relations Coordinator serves as the membership operational support for the organization. This position works in an administrative role on projects involving Chamber members, partners, and the public and plays a key position in ensuring smooth daily operations, member engagement, and professional representation of the Chamber. This position is a great opportunity for a people-oriented and proactive communicator that enjoys outreach to the community.
Essential Job Responsibilities
General Administrative and Office Operations
· Manage daily office operations; including managing call flow to the appropriate channels, emails, incoming and outgoing mail, and serving member inquiries
· Maintain office supplies, equipment, records, and event items
· Schedule meetings, prepare agendas, and take meeting minutes as needed
· Support the Executive Director and staff with administrative tasks and special projects
· Maintain accurate filing systems (digital and physical)
o Maintain the Chamber Database ensuring member information is up to date
o Maintain internal sub-lists of members, partners and stakeholders
Membership Retention and Growth
· Communicate Chamber benefits with existing members, new prospective businesses, and organizations to maintain and grow membership
o Educate members on their Chamber benefits, programs, and resources available to them through the Chamber
- Establish and execute on membership goals and growth strategies with Executive Director and the Membership Committee
- Manage prospective member lists and report on progress to the Executive team
o Prepare financial reports for membership
- Maintain an inventory of new member and prospective member packets and literature
- Assist members with updating their Chamber database information and program registrations.
- Update and monitor event registrations through the Chamber Master Database
- Issue and maintain program invoicing
- Assist in the set-up and breakdown of Chamber Programs
- Coordinate and track year-long Partner packages
- Maintain and update attendee program lists
- Issue event invites to members and prospects for upcoming programs
- Issue the Annual Scholarship Program details to school districts and stakeholders; manage the collection of applications from students
Communications
- Coordinate details with Members on their inclusion in Chamber print and digital publications
- Create a social media calendar of content and image inventory that highlight member news and recognitions, membership benefits, and upcoming Chamber events and news
- Schedule and coordinate members to be featured on the Checks In Video Show
- Excellent interpersonal, verbal, and written communication skills
- Ability to work independently and prioritize work
- Ability to secure growth in membership
- Excellent organization skills including attention to detail, efficiency, and productivity
- Proficient use of Microsoft Office, Google, and Association Management Databases
- Ability to work flexible hours
- Associates degree or equivalent experience preferred
- 2+ years of administrative or office coordination experience
- Strong organizational and time-management skills
- Professional demeanor with strong customer service skills
- Ability to multi-task, work independently, and collaborate with a team
Preferred Skills
- Experience working with non-profit organizations, chambers of commerce, or membership-based organizations
- Office-based, in person, Full-time
- Office hours are 9:00 a.m. to 4:30 p.m.
- Occasional evening or morning Chamber event attendance required
- Fast-paced, community-oriented work environment
- Ability to remain politically neutral
- Ability to life 30 lbs. or more
- Competitive salary based on experience | $22-$25 an hour
